Kateric seeks an organized, tech-savvy Office Manager to join their collaborative remote team. This is a full-time (30-40 hours/week) position.

About the Role

This role has responsibilities in the following areas, which affords a nice variety and range of tasks and duties.

Information Technology (IT)

  • Manage Kateric time tracking system, including adding new team members, adding/updating new projects, training new team members on use, etc.
  • Maintain project trackers (in Smartsheet) ensuring optimal functionality, including data entry for new projects, following up with team members to ensure completeness, etc.
  • Monitor and maintain client and team dashboards
  • Liaise with external partner as needed for updates to Kateric website
  • Respond to/archive website contact forms
  • Manage Kateric email account, including setting up new accounts

Invoices

  • Liaise with client AP departments on PO/invoicing matters
  • Submit invoices/accruals to client AP department and department managers
  • Assist internal finance department with invoicing activities

Contracts

  • Preparation/execution of contracts with clients/team members
  • Perform reference checks
  • Coordinate background check with external partner
  • Onboard team members to Kateric/client

Administrative

  • Serve as central scheduler/primary point of contact for scheduling, including monitoring scheduling mailbox, liaising with leadership/clients, responding to emails, and monitoring and maintaining relevant client Smartsheet trackers/objects, etc.
  • Conduct regular check-in meetings with team members
  • Monitor and distribute client customer feedback
  • Maintain/administer company team calendar
  • Manage/coordinate reports for resource utilization, finance/budgets, etc.
  • Prepare PowerPoint presentations/slides for leadership team
  • Prepare quarterly business meeting reports by gathering all relevant data and creating initial templated report and slides for leadership
  • Attend client meetings, updating meeting agendas prior to the meeting and preparing meeting minutes following the meeting
  • Document formatting/conversion, where needed, for leadership team
  • Document archival
  • Monitor project timelines, following up to ensure timely delivery of projects
  • Maintain training matrix and training records for team members
  • Coordinate training activities for new hires, providing access to files, sending documents/materials, training exercises, liaising with other team members to plan, etc.
  • Schedule meetings/interviews for leadership team
  • Coordinate and maintain conference schedule, including planning, registration, and coordination of exhibits/materials, etc.

About You

  • Associate’s or Bachelor’s degree
  • Minimum 3 years administrative experience in a corporate environment
  • Expert level knowledge of Excel, PowerPoint, Word, and Smartsheet (preferred), with advanced software expertise
  • Ability to work across multiple clients in a fast-paced environment
  • An ideal candidate is excited about the life sciences industry

Compensation

  • Compensation will be based on a candidate’s experience and qualifications.
